However, not all scanning programs are created equal and there may be times when you wonder if it’s really worth all the effort to get organized. Nuance’s latest release, ScanSoft PaperPort 11 is a solid contender that has a pretty decent price point. The software has been popular for several years, and this latest release does have quite a few new features that makes it worth upgrading. If you’re already using a previous version of PaperPort, you’ll find that there are plenty of reasons to think about getting the newest release. If you’re still on the fence about scanning software, this is definitely a package that is worth a try. It’s tough to find the perfect scanning solution, but this one does stand out in a crowd.
Installation was very easy and didn’t require a lot of effort. Just pop the disc in and the application will walk you through the entire process. One thing that we did not like was the software does require activation, and you will need to be online. For those that prefer not to have to activate or register their software, this will be a downside. We would have liked to have seen them try a different option for those that aren’t quite ready to go through online activation, but overall, this was a small downside in relation to what the software can do.
Once you’ve got the software installed, you will need to make sure that your scanner is hooked up. It should automatically recognize it, but those with older scanners may find a few difficulties. Overall, it does do a good job of connecting with even legacy scanners, so this should not be a big problem for most users.
After you’re done with your installation, and you’ve hooked up your scanner, simply launch the software. You’ll be able to see if it is communicating with your scanner at this point. Once everything is operational, you’ll be ready to get started. Place the document in the scanner and start the process. It may vary based on the type of scanner you’re using.
Once the document has been scanned in, you’ll be presented with numerous options to handle that particular document. You can turn the file into a PDF or a JPG at this point. We highly recommend a PDF file and the software does include some extra options to make it easier to handle that format. If you don’t have Adobe Acrobat, you may want to stick with a JPG file, especially if you plan to edit the file once it’s been created.
For those that need to do a lot of editing, the software does have a feature to turn the file into text. This by far was our favorite feature and we found it very easy to work with the documents once they were scanned in. From small changes to big changes, it was easy to edit those files and get them perfect. This makes it very good for authors or those that need to have a lot more control over their scanned documents.
Our favorite feature was the ability to combine more than one document into one single file. If you’re scanning in a book or a long document, it can be incredibly frustrating to try to compile everything and it’s very easy to end up missing a few pages along the way. With this software, all you have to do is fire it up and start scanning. Select the stack option and you’ll be creating one document.
We also loved the ability to scan in a form, and then fill it out right on the screen. This makes the finished product much more professional and opens up quite a few more options for those that deal with fill-in forms on a daily basis. This is a big time saver and an option that most companies should appreciate whole heartedly.
You can send the documents right to your email program or fax machine once you’re done, or you can simply save them for later use. Finding them is made even easier with the program’s built in search feature called PaperPortWatson. You can search through all of your computer’s files to find exactly what you are looking for. We found the search to be speedy and accurate.
The software also worked very well for scanning in photos. The scans were crisp and clear and the software allows you to play with the contrast. In addition, if your files are a little bit crooked, you can fix that easily for a professional result.
This software quickly became our all time favorite scanning software. On the quality side, if you only scan a few docs or photos a year, you’ll be impressed by the capabilities and the high resolution results. For those that do a lot of scanning, the software is perfect and will make your life a whole lot easier.
