If your business deals with a lot of paper forms and you’re looking to upgrade or simply cut down on the cost of producing these forms, chances are you’re going to need a software that can reliably can them in. While there are plenty of scanning software packages out there, few are meant just for forms. This means that there is a lot of room for improvement out there, especially if you need to convert a bunch of forms.
The main problem facing this software sector is that people usually only need to use the software once to scan in all of their common forms, or every once in awhile when necessary. This has made it tough for manufacturers. The technology to create the software can be pretty complicated, but considering the use that people will get out of it, the price point cannot be too high.
While there are a few form scanning applications on the market, most are overpriced and don’t have enough features to really make them stand out. As more scanning software becomes popular and more accurate, the market for this specialty may be altogether over. However, for now, you can still find a few applications on the market. They may not be created equal, but all are pretty useful.
Let’s see if OmniForm 5 can stand up to their competition.
Nuance, the manufacturer of this software, is already pretty well known and respected for their other scanning software packages. In fact, one of their most recent releases contains a module for form scanning, so you wonder why the company decided to keep going with OmniForm. While it is a bit cheaper than the full package, we can’t imagine that a company wouldn’t want to spend a few bucks more to get an application with more capabilities. If you’re already using a Nuance scanning product, chances are, you probably won’t need to purchase this one.
Installing the software was very easy. We popped in the CD and followed the instructions to set up the application. Once that was done, we plugged in the scanner and launched the app. It recognized the device right off the bat, which was nice, and we were able to get going within about 15 minutes.
Most users should be able to get this installed without a problem and immediately start using it.
Once everything was set up, all we had to do was insert the form into the scanner and hit scan. We found the process to be very quick and very easy. The included controls and the UI for the software are very easy to understand and even novices should be able to get started without any problems at all. The learning curve for this application is definitely very low.
In addition to scanning in forms and saving them to PDF’s so that you can later edit them, the software also allows you to create your own forms. They include many different templates that users can customize to their heart’s delight. While we appreciated this feature, it seems a little redundant. Most companies that create forms on their computers already have a set application for this that has more features. It was great of them to include this option, but again, we’re running into that problem of having very little overall appeal.
You can crop, resize, adjust and edit your scanned forms once they’re in the application. We found it easy to find the files we were looking for and the features were very nice. Just not nice enough to be convincing that we should have spent more than $70 on the application.
The one feature that saved this application in our estimation was the ability to scan in a form and them export the data to MS Access. This is a great feature for those that process a lot of new employee applications or have a lot of forms that are filled out on paper. Being able to export that data right into your database program is a great feature. This is a timesaver for big companies and even smaller companies that don’t want to spend a lot of time on data entry projects.
At this current price point, the software just isn’t a very good value. Sure there are a few nice features and if you consistently need to scan in different forms every week, you’ll be able to get your money’s worth. This is definitely overkill for those that are just looking for an occasional form scanning program. You’d be better off going with the more fully featured scanning pack from Nuance instead of this one.
The ability to save form data into a database should save companies a lot of money and as mentioned previously, this was the one factor that really redeemed this software in our eyes. Granted, if you don’t have a lot of forms, this simply isn’t going to be the application for you, unless you don’t mind spending a little extra. However, for big firms that need to make sure they are keeping accurate records, this is a big time and money saver. The money saved on data entry services alone justifies the cost of the software and makes it all the more worthwhile.
Bottom line – it’s a powerful tool that works exactly as it should and that is worth a lot. We’re not sure the package is really worth the asking price however. If you don’t do a lot of scanning, this should only be purchased if you absolutely hate data entry. If you do need something that is reliable and accurate however when it comes to saving applicant data or any form data, this is a little workhorse that will get the job done well.
A price reduction would swing us firmly into their corner, but as it is, Nuance has created a nice little application that should appeal to some companies. By adding a few more features however, they could justify that higher price a lot better.
